MouldSurveyPro is a trading name of Centre Retail Services Ltd, a company registered in England and Wales. Our registered address is available on request. Our VAT registration number is 213 6868 02.
We provide independent damp and mould surveying services across West Sussex, East Sussex and Surrey. In doing so, we collect and process personal data as described in this policy.

Your name, email address and phone number when you contact us or book a survey

Your property address and details of the damp or mould issue

Payment information when you book a survey (processed securely by our payment provider — we do not store card details)

Any additional information you include in messages or forms

Data we collect during a survey

Photographs of the interior and exterior of the property

Environmental measurements — temperature, relative humidity, surface temperature and dewpoint

Written observations about the property condition

Details of the occupancy, where relevant to the cause assessment

Data about third parties

Where a survey is commissioned by a landlord, managing agent, solicitor or housing association, we may receive personal data about the tenant or occupant of the property — including their name, contact details and details of the complaint. We process this data only to the extent necessary to carry out the survey and produce the report.

3. How We Use Your Data and Our Lawful Basis

We process your personal data for the following purposes, relying on the lawful bases set out below.

To provide our services — arranging, carrying out and reporting on surveys. Lawful basis: performance of a contract, or our legitimate interest in delivering a service you have requested.

To communicate with you — responding to enquiries, sending booking confirmations and issuing reports. Lawful basis: performance of a contract and legitimate interests.

To take payment — processing fees for surveys. Lawful basis: performance of a contract.

To meet legal and regulatory obligations — including accounting, tax and responding to lawful requests. Lawful basis: legal obligation.

Health information — where a tenant chooses to share health information relevant to a damp or mould complaint, we treat this as special category data and process it only with explicit consent, or where necessary for reasons of substantial public interest. Providing health information is always optional.

4. Who We Share Your Data With

We do not sell your data. We share it only where necessary to deliver our service or meet our obligations:

The commissioning party — where a survey is commissioned by a landlord, agent, solicitor or housing association, the resulting report is provided to them.

Service providers (sub-processors) — including our cloud hosting, database, document generation, email delivery and payment providers. These providers act on our instructions under written agreements.

Professional and legal advisers — where reasonably required.

Authorities or courts — where we are legally required to do so, or where a report is relied upon in legal or regulatory proceedings.

5. How Long We Keep Your Data

We keep personal data only for as long as necessary for the purposes for which it was collected, including to meet legal, accounting or reporting requirements.
Survey reports and supporting evidence are retained for a period that reflects their potential use in legal or regulatory proceedings. Enquiry data that does not lead to a booking is held for a shorter period and then deleted. A detailed retention schedule is available on request.

6. How We Protect Your Data

We take the security of your data seriously and apply appropriate technical and organisational measures, including access controls, encryption in transit, secure cloud infrastructure and restricted staff access. While no system can be guaranteed completely secure, we work to protect your data against unauthorised access, loss or misuse.
